Zabbix SIA an organizer of the Zabbix Conference Poland 2026, hereinafter – Conference, which will take place at the Hotel Mercure Warszawa Grand, 28 Krucza street, 00-522, Warsaw, Poland, from 13–14 May 2026.
Zabbix SIA is committed to protecting the privacy of personal data of Conference attendees under the EU General Data Protection Regulation 2016/679 (GDPR). Zabbix SIA and Conference Sponsors will each be separately considered as a controller of personal data of Conference attendees; therefore, each controller will process personal data under its own privacy policy. 1. The personal data collected by Zabbix SIA may include the Conference attendee’s full name, company name, email address, and phone number, hereinafter – Personal Data. Personal Data will not be shared with anyone, except for Conference Sponsors starting from the Gold Sponsorship Level upon the completion of registration forms by Conference attendees Zabbix SIA partner in the Poland– Aplitt sp. z o.o., with its registered office in Gdańsk (80-387) at ul. Arkońska 11, which is delegated by Zabbix SIA to conduct all necessary activities related to receiving payments from Conference attendees. Once the personal data is transferred to this partner, it becomes an independent data controller. Information regarding the processing of personal data by this entity is provided below.
2. Zabbix SIA and Sponsors will use Personal Data:
(i) for the purpose of general administration and arrangement of the Conference (for planning and logistics, and general administration of the attendance of Conference).
The legal basis for such Personal Data processing is to perform contractual obligations of Zabbix SIA under point
(b) of Article 6 (1) of GDPR.
(ii) for the purpose of direct marketing activities, that is, for offering similar products or services provided by Zabbix SIA and Sponsors.
The legal basis for such Personal Data processing is Zabbix SIA’s and Sponsors’ legitimate interest under point
(f) of Article 6 (1) of GDPR. The Conference attendee has the right to object at any time to such processing of Personal Data under Article 21 (2) of GDPR.
Aplitt sp. z o.o. – Information on Personal Data Processing
1. Data Controller
The controller of your personal data provided by Zabbix SIA will be Aplitt sp. z o.o., with its registered office in Gdańsk (80‑387), ul. Arkońska 11 (hereinafter referred to as “Aplitt”, “we”, or “the Company”).
Your personal data will be shared with Aplitt by Zabbix SIA for the purpose of enabling the Company to perform all activities necessary to process, verify, and settle fees related to participant attendance at the Conference.

4. Purpose and legal basis of processing
Your personal data will be processed by us for the purpose of performing all activities necessary to invoice, register, verify, and settle fees related to your participation in the Conference, as well as to comply with accounting and tax obligations applicable to Aplitt.
Your personal data will be processed on the following legal bases:
(i) Article 6(1)(f) GDPR – the processing is necessary for the purposes of the legitimate interests pursued by Aplitt, consisting of invoicing, verifying, and settling participant fees related to the Conference.
(ii) Article 6(1)(c) GDPR – the processing is necessary for compliance with legal obligations imposed on Aplitt, in particular accounting and tax regulations.
5. Categories of processed data
The following categories of personal data will be processed by Aplitt:
(i) full name,
(ii) email address,
(iii) phone number,
(iv) company details (if provided),
(v) payment‑related information necessary to complete the transaction.
6. Data retention period
Your personal data will be retained for the duration required to complete the payment process and comply with accounting and tax regulations — generally for a period of up to 6 years following the end of the financial year in which the transaction occurred.
7. Recipients of your personal data
Your personal data may be disclosed to entities processing data on our behalf, acting under data processing agreements and strictly in accordance with our instructions (e.g., IT and technical support providers, document archiving and destruction providers, and cloud service providers, including tools and services supplied by Microsoft Corporation and its affiliates). Although we select data processing locations within the European Union, your personal data may be transferred to third countries (i.e., outside the European Economic Area), including the United States. Such transfers are carried out on the basis of the EU–U.S. Data Privacy Framework, which ensures an adequate level of data protection. In connection with payment processing and settlement, your personal data may also be disclosed to financial institutions, including banks, payment service providers, acquiring institutions, and payment intermediaries, which process personal data as independent data controllers in order to execute and settle payments and to comply with legal and regulatory obligations.
